We're seeking a Senior Administrative Assistant to join our client's team in the Health Industry in Toronto. As a Senior Administrative Assistant, you will be accountable for the effective and efficient coordination of information and documentation, as well as the provision of administrative support to the VP, Director and team.
What We Offer:
- Location: Etobicoke M9W 5P3 – Work from Site
- Pay: $31/hr. plus 4% vacation pay
- Start Date: ASAP - (6-month contract) with possible extension.
- Shift: Days, Monday to Friday – 37.5 hours per week
What You'll Do:
- Extensive calendar management including scheduling/rescheduling regular and ad hoc business meetings, videoconferences and webinars, and managing meeting resources.
- Coordinate large business meetings/events, both on and off-site, including managing location booking, catering, guestrooms and other meeting resources.
- Manage travel arrangements, including booking flights, hotels, cars and coordinating itineraries.
- Prepare meeting agendas, take meeting notes as required, transcribe flip chart notes, and prepare meeting minutes.
- Prepare PowerPoint presentations and conference registrations, and set up videoconferencing for meetings.
- Prepare and submit executive expense reports in a timely manner.
- Code and track invoices and submit for payment in a timely manner.
- Prepare monthly/quarterly/annual and ad hoc reports.
- Answer multiple phone lines, take messages, and screen and redirect calls (Only if additional lines are added to the phone).
- Receive and redirect inquiries from the contact page on the external website (if applicable).
What We’re Looking For:
- Post-secondary education in an administrative-related field.
- 3+ years of experience in providing administrative support to C Level executives.
- Superior knowledge and demonstrated experience in the use of MS Office 365, Excel, PowerPoint, Visio.
- Excellent organizational skills to coordinate and ensure priorities are established and deadlines are met.
- Ability to perform a multitude of duties without operational disruption, particularly across multiple time zones.
- Ability to remain flexible to ensure tasks are prioritized and deadlines are met.
- Ability to learn and operationalize organizational policies and procedures.
